How to verify an MSME supplier before you buy

Udyam, GST, PAN and premises checks a procurement team can complete in under 20 minutes — using only official government portals.

India has more than 7.9 crore registered MSMEs, and the vast majority are genuine operating businesses. The risk in B2B procurement is rarely the sector — it is the handful of listings that cannot survive a documentation check. The four checks below are free, official, and repeatable for every new vendor you onboard.

1. Verify the Udyam Registration Number

Ask the supplier for their Udyam Registration Number (format: UDYAM-XX-00-0000000). Open the official Udyam portal at udyamregistration.gov.in and use "Verify Udyam Registration Number" under the Print/Verify menu.

Enter the URN with the registered mobile or email to receive an OTP-backed verification. The result shows the enterprise name, type (micro / small / medium), major activity, date of incorporation and the district of operation.

Match the enterprise name and state against the quotation letterhead. A mismatch in legal name is the single most common early red flag.

2. Check GSTIN status and filing history

On the GST portal (services.gst.gov.in), use Search Taxpayer → Search by GSTIN/UIN. Confirm the GSTIN is Active, the legal and trade names match the Udyam record, and the constitution of business is what the supplier claims.

Then open Search Taxpayer → Search by GSTIN → "Show Filing Table" to see recent GSTR-1 and GSTR-3B filings. Consistent monthly filings indicate a live, operating business; long gaps warrant questions before an advance payment.

The first two digits of the GSTIN are the state code and characters 3–12 are the PAN — this lets you cross-check PAN without a separate lookup.

3. Cross-check PAN, bank details and address

Confirm the PAN embedded in the GSTIN matches the PAN on the supplier's invoice and their cancelled cheque. Beneficiary name on the bank account should equal the GST legal name — never remit to a personal account for a registered firm.

4. Red flags worth pausing on

GSTIN suspended or cancelled, or no returns filed for two or more consecutive periods.

Udyam name, GST legal name and bank beneficiary name that do not reconcile.

Pressure for a full advance to a newly opened account, or refusal to share a registered address.

Quotes far below the market band with no explanation of scale or process advantage.
